Privacy Policy
Effective September 20, 2026 · Last updated September 20, 2026
What we collect, why we use it, and how to contact us about your information. This policy covers the Squad Sports Tech company website.
1. Who we are and what this covers
Squad Sports Technology, located in Canada, operates squadsports.tech under the Squad Sports Tech brand (“we,” “us,” or “our”). This Privacy Policy explains how we handle personal information through this public marketing website and related inquiries.
This website introduces The Squad, TryoutFlow, Practice Assist and Scorekeeper Pro. It does not create product accounts, collect subscription payments, or host team rosters or athlete evaluations. Each product’s own privacy notice and agreements govern information processed within that product. Following a product link takes you to a separate website.
For privacy questions, requests or complaints, contact the Squad Sports Technology privacy contact at team@thesquad.pro. Use “Privacy request” in the subject so we can route your message.
2. Information we collect
- Information you provide: your name, email address and inquiry message; organization, role and sport if you choose to provide them; and information you include in subsequent correspondence.
- Technical and security information: our hosting infrastructure may process your IP address, browser and device information, requested URL, referring page, request time, response status and security events to deliver and protect the website.
- Form validation information: the server processes submitted fields to check their format and detect spam. A hidden anti-spam field and request-rate controls help prevent automated abuse.
Do not send passwords, payment-card details, government identification, medical records, athlete rosters, or children’s personal information through this general inquiry form. Only provide another person’s information if you have the authority to do so and it is necessary for your inquiry.
3. Why we use information
We use inquiry information to respond to you, understand your request, discuss a potential business relationship you ask about, and keep appropriate correspondence records. Technical information supports website delivery, troubleshooting, fraud and spam prevention, and security. We may also use information as reasonably necessary to meet legal obligations, resolve disputes or protect lawful rights.
Submitting an inquiry does not sign you up for a newsletter or authorize unrelated marketing. We do not sell your personal information or use this website to share it for targeted advertising. We seek additional consent where required before using information for a materially different purpose.
You choose whether to contact us and whether to include optional details. We rely on your consent where required and on other grounds permitted by applicable law for necessary security, legal compliance and related processing. You may withdraw consent subject to lawful limits; doing so may prevent us from responding to or completing your request.
4. How the contact form works
When you submit the form, its contents are transmitted over HTTPS to our website server for validation, including when an email draft is the next step. The website application does not save inquiries to a separate contact database or intentionally write message contents to application logs.
Where direct delivery is enabled, the server passes your name, email, message and optional fields to Resend to deliver the inquiry to our designated company inbox. Your email is used as the reply-to address. Delivery and security records may be retained by the email service.
When direct delivery is not configured, the website prepares a mailto link containing your details. Nothing is emailed by that draft step. Opening the link transfers the draft to your chosen email application; you must review and send it. Your email provider then handles the message under its own terms and privacy practices. A draft or error notice is not a delivery confirmation.
5. Service providers and disclosures
We use service providers for the limited purposes needed to operate the website and respond to inquiries:
- Vercel: website hosting, content delivery, server processing, request logs and security controls. See Vercel’s data-processing information.
- Resend, when direct email delivery is enabled: transmission of inquiry emails and associated delivery records. See Resend’s data-processing information.
- Email and professional service providers: handling correspondence, administering our business, and obtaining professional advice when necessary.
We limit disclosures to what is reasonably necessary for the relevant purpose. We may disclose information when legally required, in response to valid legal process, or when legally permitted and necessary to investigate abuse or protect rights and safety. A business reorganization or transfer may involve personal information only subject to applicable legal requirements and safeguards; this is not permission to use it for unrelated purposes.
6. Processing outside Canada
Website and inquiry information may be processed outside Canada, including in the United States. Our website server infrastructure operates in the United States; Vercel also uses distributed infrastructure to deliver and secure the website. Resend stores email data in the United States when used. Correspondence may also pass through countries where the relevant email providers operate.
Information processed abroad may be subject to the laws and lawful access requirements of those countries. The purposes of this processing are hosting, security, email delivery and inquiry handling, as described above. Contact our privacy contact at team@thesquad.pro for questions about our use of providers outside Canada or to request further information about those practices.
8. Retention and security
Our retention policy is to keep personal information only as long as reasonably necessary for the purpose for which it was collected and any applicable legal requirements. The relevant period depends on whether an inquiry remains active, an ongoing business relationship requires the correspondence, a dispute or legal hold applies, or security records are needed to investigate abuse. Provider logs and backups have their own retention cycles; deletion may not be immediate in protected backups.
You may ask us about retention of a specific inquiry or request deletion using the contact below. Applicable legal duties or legitimate unresolved matters may require us to retain some records. We will explain relevant limits when responding to your request.
The website uses HTTPS, server-side input validation and anti-abuse controls. No internet transmission or storage system is completely secure. If a privacy incident occurs, applicable law determines our investigation, recordkeeping, regulatory reporting and notification obligations.
9. Your choices, requests and complaints
Depending on the law that applies to you, you may have rights to know how your information is handled, request access or a copy, request correction or deletion, withdraw consent, or object to or restrict certain processing. These rights may have legal exceptions. We do not require you to waive rights as a condition of making a privacy request.
Email team@thesquad.pro with the request and enough context to locate the relevant correspondence. Do not attach identification documents unless we request an appropriate verification method. We may need to verify your identity and authority before disclosing or changing records. We will respond within applicable legal time limits and explain any lawful refusal or extension.
You may raise a concern with us and may also contact the privacy regulator with jurisdiction over your complaint. In Canada, the Office of the Privacy Commissioner of Canada provides complaint information and guidance on which authority can help. Your right to contact a regulator does not depend on first contacting us.
10. Children’s information
This company information site and its general inquiry form are intended for adults communicating about sports products and organizations. We do not seek children’s personal information through this form. Parents, guardians and authorized adult representatives should make inquiries on a child’s behalf without including identifying or sensitive details about the child. If you believe a child’s information was submitted, contact us so we can review and address it. Product-specific youth features are governed by the relevant product’s privacy notice.
11. Policy updates
We may revise this policy as our website, providers or legal obligations change. The updated version and date will appear on this page. Where required, we will give additional notice or seek consent for material changes before applying a new use to previously collected information.
